Many companies mistakenly believe the routine backups taken each day have them covered if they have an outage or more seriously a disaster. Some also believe that this backup is the “DR Plan”.

Backups and disaster recovery are not the same and should be treated as separate things. The first thing to remember is your backup contains data, not the physical systems, software and other items that make up your IT system. Your backup will need to be restored somewhere – if you lose your building do you have plans as to where the backup is restored?

Backups are vitally important to your business. Being able to restore data to a point in time is invaluable and is a given in any well setup environment. Ideally the backup will have a flexible multi layered approach which may include both on-site and remote backup strategies. This helps if for some reason the physical local backup is lost or corrupted. You should also consider the differences between a backup and an archive, often companies backup weekly but only retain for a month or two. An archive is held indefinitely and consists of multiple backups that allow you to go back in time (often years) to recover files as they were at that point in time. Some industries require greater data retention periods than others so archiving can be a valuable addition.

Your disaster recovery plan needs to complement your backup strategy, but more importantly also cover the “what if” scenarios of a lost building or complete hardware failure to name a few. You need to think about hardware replacement for servers, desktops and laptops as well as software media, office space, telecoms and phones… The plan covers more than just the IT system you have in place and you can easily forget something critical.
